ASSIGNMENTS CHAPTER

The employee memo sent out to safeguard IT security issue clearly outlines the issues that the company has and the threats that is sees from the activities that the employees are currently indulging in. Thus the memo is clear, concise and well structured. Having said that, an element of empathy is definitely missing.  Without this element of empathy, the message may be construed as a direct and autocratic order and thus may automatically trigger certain types of employees to rebel against such an autocratic message. If I were to rewrite it I would do it as follows

Subject To all employees
Dear All,
IT information integrity is of prime importance in todays corporate world. Whereas IT may be used for increasing efficiency and enhancing interdepartmental collaboration, it can at times also be misused for other more evil designs. Thus in order to ensure the security of every one and their official IT resources, we are issuing the following directives that should be followed for everyones well being
Please do not use automated logon procedures
Please do not share passwords with anyone else
These steps have been taken in view of the growing competition in the market, and as a direct result of the senior management wanting to ensure better IT security for all employees.
We look forward to your cooperation

Exercise 5.5
Subject Brainstorming tips
Dear Boss,
Brainstorming is one of the best ways to encourage the flow of ideas whenever a team is stuck with no solutions. The object of this activity is to let all ideas to flow, no matter how crazy they are, to ensure that the issue is tackled from all angles, without restricting the brain from any out of the box suggestions that may lead to a more formal application towards solving a problem.
Preparing for a brainstorming session is relatively simple.  The steps are as follows
Send all participants a small summary of the issue that need to be discussed. Tell them to keep their ideas to themselves until the session starts
Find a quiet place where there are no interruptions
Ensure that the setting is informal, possibly where they may be some refreshments as well so that the manage-employee relationship is more informal
Every one will first get a turn to give their ideas
Once they have given their ideas, the floor will be opened to all ideas
Write all the ideas on a board
No matter how crazy, note it down
Once the session is over, evaluate all the options that look possible. Conduct a cost benefit analysis and the relative merits and demerits of each idea. Apply the one that seems most appropriate according to the situation
Happy brainstorming
John

Exercise 5.15
No matter what the size, portraying a professional image is of prime importance to all organization. Larger businesses have more work in this regard since they have a multitude of items that need to be designed and these include logos, business cards, business stationary, web pages etc. Since they have more resources at their disposal they can hire the services of a graphic designer. Smaller businesses on the other hand do not have such resources however can still hire a relatively fresh designer for relatively less experience and at less cost.

We are in the business of customer satisfaction and we would like to provide our clients with the best quality of service possible. Many of our clients are high powered executives who heavily rely on IT resources and cannot part with them during business hours. If they have an issue with their resources, we need to ensure that we provide them service according to their needs.  Thus the only time to service them is in night shifts or Sundays to ensure that our customers needs are met. For this reason, I would like to ask for additional funds to ensure continued top quality customer servicing to our clients.
Sturdybuilt provides three options for delivery to retailers. The first option is Air Express which is expensive and has a two day time lag as well. The second alternative is for the products to be available at any one of our distribution centres in Phoenix, St. Louis or Los Angeles, and from there the retailers can pick them up directly. The third option is for our trucks to deliver them directly to the retailers

Subject   Additional cost reimbursement

Dear Sir,
As you already know Custom Designs has a great reputation when it comes to remodelling jobs. Our clients have always rated our work as outstanding and thus we have earned a market share of over 80 in this niche segment. Custom Designs has enjoyed a long and healthy relationship with your company, since you are a valuable part of the process and are a very valued supplier of ours.
The reason that I am writing to you is because of a recent anomaly that I noticed in your otherwise unblemished performance. On a recent remodelling job I had requested for made to order, Double Glazed, French doors. Whereas you have always answered my requested with exact orders, this time the doors were 4 inches short of the requested length. Thus since we were working on a close deadline, I paid a carpenter additional monetary benefits to ensure that the doors were made from scratch.
Since the order from your side was not as per requested, and also since we have a long history, I did not ask for a reimbursement on the whole order. I have attached a bill for the extra amount incurred due to the delivery issue from your side.

I hope you understand and reimburse me for the same at your earliest.
Looking forward to a long and fruitful partnership

Subject Interest in GPS Navigators

Dear Mr. Joyner,
The Weekend Inn is one of the premium holiday establishments in our region. With room booking rates at a 90 occupancy average and a 95 approval rating from our clients, we have been reviewed as the one of watch out for by the Washington Post.

I recently read an article about your GPA Navigation devices and it got us thinking. Many guests that visit our region for the first time, often love travelling and are not able to properly navigate maps, which eventually gets them lost. I was wondering if we could form a strategic alliance to further our customer service quality and your customer base. The partnership will be mutually beneficial for both of our organizations and will definitely lead to an increase in both brand equities, something that both our companies are looking forward.
To start with, I would like to discuss the possibility of a custom designed package and a two month trial period with your handsets for our customers. The customer designed features that we would love to have included are as follows

A button marked home which leads our guests back to our hotel
All landmarks marked on the map
Popular restaurants such as Food Couture Corner, and Fusion Caf
Emergency and travel points with ease of access
Travel agents
Lets have a meeting to discuss the same.
Looking forward to an early and positive response

The delays that happen in data transfer due to inefficient use of time essentially hampers work not just for me but also for those to whom I further report. This affects not only my work performance and evaluation but also causes frequent friction between myself and the concerned individuals.
What causes work delays and employee friction
The purpose of this report is to formally apprise you of the situation we discussed about the problems I face at work.

Dear Mr. Sparrow,

Yesterday I understood the difference between search results for a regular search engine and a metasearch site. I used Google as a representative search engine and Dogpile as a rep for a metasearch engine. Though both sources essentially showed the same basic hits or results in the first few links, the basic difference between the two was that the metasearch engine automatically offered to find results for other broad categories of data related to the topic of my interest the search incidentally was Subprime mortgage crisis.

The basic benefit of Google was that it gave topics and results that most matched the words in question and the first few hits were as relevant as well matched. However, the drawback was that on some occasions matched words are not good enough. On Dogpile on the other hand, the search was almost refined to the extent that it gave relevant answers each time. Another advantage of Dogpile was the vast connections it allowed to grow based on the hits that the engine deemed relevant.

I feel that these learnings can greatly help to increase the efficacy of information that one might be looking for.

Thank you

Mr. XYZ
Instructor,
Subject research on fortune 500 firm

Dear Mr. XYZ,
As part of my search for good or bad employment options, I perused through some Fortune 500 companies. At the top of the list for this year is Exxon Mobil, even though oil prices saw a sharp decline this year. The firms revenue for the year is 442,851 million, with 45,220 as profits. Its profits are 10.2 of the total revenue and stock holders equity is 40 of total revenue, which is a positive sign given that 19.8 of total revenue is the assets. Furthermore, the earning per share of the firm in 2008 was 8.69, up 19.4 from the previous year.

The company chairman and ceo is Rex Tillerson SVP and Treasurer is Donald Humphreys. As of 2008 the company has 79,900 employees with headquarters in Irving, Texas. Given the economic climate and the fact that EM made a profit with oil prices plunging as they did, I believe that the company is a good choice for employment.

Exercise 12.20
Letter Report
Dean of Studies
Letter Report on Feasibility study

Respected Dean,
Out of a total student population of 2,600, ten percent are international students. The students represent a wide diversity of cultures as cumulatively they range from 20 different countries. The majority of the students on campus is from china (47 students), whereas only 2 students each are from Nigeria and New Zealand. In absolute terms 260 may not be a very large number but ten percent of the entire student population does warrant them the right to a separate voice on issues of their concern if they feel so.
To further my understanding on the matter I conducted a study of 39 international students of which 31 gave a positive response to the idea. I further contacted the administrative block to gain insight about the procedures and protocols required for starting a student organization, and was told the following details
Minimum number of students in any organization  (the said limit is 50)

A willing faculty member to sponsor the organization
A charter for the organization, designed and drafted by the said organization
Payment of registration fees and fulfilling of procedures as laid out in the prospectus for student organizations
The students are willing and able to pay the registration fees. Since almost all of them have on campus accommodation, the protocols and charter creation will not be an issue. This organization will also shed positive light on our university as a culturally inclusive one.
If there are any other questions concerning this issue, please contact me at your convenience.
Regards

Information Report
The facility which most banks offer to customers to overdraw a certain amount of money is fast becoming a norm for most customers. However, if a customer pays 20 as fees, on an amount overdrawn up to 100, then this technically amounts to nearly 520 this technically leaves the customers no better off than when they are required to pay interest on over drawn amounts or bounced checks.
Like with credit cards, banks overdraft fees also have certain advantages and disadvantages. It offers a psychological benefit to customers that instead of paying interest they are paying a certain fees for a service they are using from the bank. However, the customers are not really better off when they end up paying 520 or such amounts extra for an overdraft of 100, and this is the minimum amount at which such services may be availed.

A major disadvantage of this also is that banks have upper and lower limits on the amounts that may be overdrawn. So even if some customers want to avail this service they find it difficult to do so if the bank does not cover the amount.

The Federal Reserves stance on the issue has been fairly non-committal. So far, the Fed has allowed banks to allow continue with this policy of charging fees but is monitoring to see if the service difference between banks that charge a fees and banks that charge an interest is different.
Based on this data banks may continue this policy since it seems to offer a good cushion for customers. However, the banks must cover themselves for all possible risks of non payment of fees and keep a ceiling in place.

No need to use a scary start like t has come to our notice Employees are responsible people, and if they are told the importance of the issue, most will be willing to change their ways
Using words like please the first time is ok. A subsequent email after a week or two can reemphasise the same issue and possibly build in a real world example that lead to employee removal. Changing habits takes time, and we should wait and empower our employees to do the right thing.
The reason we have not asked for employees to sign is because in the near future this same rule will be built into the IT contract signed by all employees as well as part of the IT integrity manual
